Scientific Poster Competition - Terms and Conditions

 

Introduction

 

Informa Life Sciences Exhibitions, Inc. (Informa), the organiser of FIME Conferences, is conducting the FIME 2023 Abstract and Poster Competition (the Competition) for interested medical professionals to compete to have their Abstract (as defined below) peer reviewed and published by Taylor & Francis Group, a trading name of Informa UK Limited which is part of the Informa group companies (“Taylor & Francis”), to win an opportunity to: (i) have their abstract published as a FIME abstract book; (ii) display their posters onsite at the FIME Conferences during the event dates for delegates to view and (iii) win one of two (2) speaking slots at the FIME 2023 conference, having their travel and accommodation provided by Informa (as set out in clause 6 below).  Informa wishes to inspire medical professionals to submit their ideas for the Competition, and Informa will award outstanding innovators with the opportunities indicated above, via which they may gain the chance to learn, network and exchange ideas and experiences.

The terms and conditions indicated below govern the Competition (Terms and Conditions).  Please read these Terms and Conditions carefully and thoroughly.

1. The Promoter

 

The promoter is: Informa Life Sciences Exhibitions, Inc. with its address at 301 Cattleman Road, Suite 301, Sarasota, FL, 34232, United States.

2. The Competition

 

2.1 The title of the competition is Scientific Poster Competition.

2.2. Competition summary: participants shall submit an abstract as specified in clause 4 below (the Abstract) to Informa. Following submission, the Abstracts shall be reviewed by Informa in the first instance, for authenticity and non-commercial content.  Following this review by Informa, fifteen (15) entrants will be notified by Informa via an email confirmation that their Abstract has been accepted. The accepted Abstracts will be peer reviewed by Taylor & Francis and those that pass peer review will be published under these Terms and Conditions and the Publishing Agreement. The successfully peer-reviewed Abstracts will be published as part of an Open Access FIME abstract book. These 15 entrants will then be asked to submit their designed poster (the Poster) and have their Poster displayed onsite at FIME 2023. Two (2) winners (the Winners) will be chosen and shall be granted travel and accommodation and the opportunity to speak at the FIME 2023 conference, in accordance with the prize specifications set out in clause 6.

2.3. The panel of judges from Informa reviewing each abstract will be will be made up of industry professionals with relevant knowledge CSSD and patient safety.

2.4. The panel of judges from Taylor & Francis responsible for peer reviewing the 15 selected Abstracts will be made up of industry professionals with relevant experience in the production of medical journals.

2.5. The Competition is void where prohibited, licensed, taxed, or restricted by law. 

3. How To Enter

 

3.1. To enter the Competition, participants must access the official website: https://www.fimeshow.com/en/transformation-zone/Scientific-Poster.html (the Website) and follow the instructions set out on the Website to complete the online form and send their Abstract.

3.2. All Abstracts must be submitted in accordance with clause 3.1 no earlier than 00:01 GST on 03 May 2023 (Starting Date) and no later than 23:59 GST on 25 May 2023 (Closing Date).  All Competition entries received before the Starting Date and after the Closing Date are automatically disqualified.

3.3. All Abstracts must be submitted in the English language.

3.4. No purchase is necessary nor is there any charge to submit Abstract via the Website.

3.5. Informa shall review submitted Abstracts by no later than 31 May 2023 and inform participants whose Abstracts have been successfully submitted via the email address provided at entry.  All Abstracts submitted will be reviewed by Informa, and then the accepted Abstracts will be peer-reviewed for publication by Taylor & Francis.

3.6. Informa will not accept:

3.6.1. responsibility for Abstracts that are lost, mislaid, damaged or delayed in transit, regardless of cause, including, for example, as a result of any postal failure, equipment failure, technical malfunction, systems, satellite, network, server, computer hardware or software failure of any kind;

3.6.2. proof of posting or transmission as proof of receipt of entry to the Competition; or

3.6.3. responsibility for any combination of events mentioned in clause 3.6.1 or other events, including injury or damage to any participant’s or any other person’s computer related to or resulting from participating in, or downloading or uploading any materials relating to, the Competition.

3.7. The Abstracts shall follow the specification set out in clause 4 and any other specifications set out on the Website (the Abstract Specification). 
If there is any conflict between these Terms and Conditions and the Abstract Specification, the Abstract Specification shall prevail only in so far as the conflicts.

3.8. Participants acknowledge and agree that Informa may, at its sole discretion, display any submitted Abstracts or Poster online at or in connection with FIME 2023 Conference or any other conferences/exhibitions organised by Informa Healthcare or any other companies that are part of the Informa Group (whose ultimate shareholder is Informa PLC).

3.9. Informa shall review the Abstracts and Posters and shall select up to two (2) presenters (Presenters).  The Abstracts and Posters shall be judged under the following criteria and consideration:

3.9.1. the application of the solution;

3.9.2. showing of substantial evidence of the nature of the problem;

3.9.3. the method(s) used to reach a viable solution; and

3.9.4. a solid explanation of that solution.

4. Abstract Specification

 

4.1 All Abstract entries must include a background, objective, results and conclusion section and include the following:

  • A definition of the problem and research goal;
  • Documented steps used in the application of methodology;
  • A description of how the solution has been used to improve lab processes and/or analyse their work; and
  • Viable substantiated results which are a solution to the stated problem.

4.2 All Abstract entries must fall under any of one of the categories and further a sub-category (and be identified as such):

  • Categories
    • Sterilisation & decontamination
    • Patient safety
    • Infection Control
  • Sub-categories
    • Breakthroughs
    • Creativity
    • Practicality
    • Best Practices
    • Smart technology
    • Innovation

4.3 Participants warrant that any Abstract submitted is their own original work and does not infringe any third party intellectual property rights in any way.

4.4. The content must not have been previously published.

4.3. Relevant technical information cannot be withheld on the grounds that such information is proprietary. Statements such as “results will be discussed” are
unacceptable.

4.4. Abstracts may not contain any type of advertising or logos.

4.5. Before an Abstract is published by Taylor & Francis, you will need to enter into the standard author publishing agreement with Informa (Publishing Agreement), which includes further author warranties about the Abstract. Publication in the Open access FIME abstract book is subject to you entering into the Publishing Agreement and Informa or Taylor & Francis shall have no obligation to publish or liability to you for not publishing the Abstract where you have not entered into the Publishing Agreement.

5. Eligibility

 

5.1 The Competition is open to all healthcare professionals that have registered/intend to register as delegates/attendees of FIME and are aged 18 years or over, except:

(a)  employees of Informa or its holding or subsidiary companies;

(b)  employees of agents or suppliers of the Informa or its holding or subsidiary companies, who are professionally connected with the Competition or its administration;

(c)  members of the immediate families or households of (a) and (b) above; or

(d) not be in a sanctioned or embargoed country according to the International Trade Sanctions, as updated from time to time.

5.2 In entering the Competition, you confirm that you are eligible to do so and eligible to claim the Prize as described in these Terms and Conditions. Informa may require you to provide proof that you are eligible to enter the Competition.

5.3 Informa will not accept Competition entries that are:

(a)  automatically generated by computer;
  
(b)  illegible, have been altered, reconstructed, forged or tampered with; or

(c)  incomplete.

5.4 Informa reserves all rights to disqualify you at any point during the Competition if your conduct is contrary to the spirit or intention of the Competition.

6. The Prize

 

6.1. All received abstracts that are accepted by Taylor & Francis following successful peer review, will be published by Taylor & Francis in the Open Access FIME abstract book.

6.2. Fifteen (15) entrants (the Finalists) shall have their:

(a) Abstract published within a FIME abstract book in the CMRO journal; and

(b) Poster displayed onsite at FIME 2023.

6.3. The odds of being selected as a Finalist will depend on the number of applicants.

6.4. Two (2) Poster Winners will be selected from the Finalists, shall receive the following each:

6.4.1. one (1) speaking slot each at the Sterilisation & Decontamination conference at FIME 2023;

6.4.2. accommodation for one (1) person for up to two (2) nights for attendance at FIME 2023; and

6.4.3. a round trip ticket to Miami, Florida, USA, by economy class from a major airport located in reasonable proximity to the city of residency of the Winner.  The airport and airline, dates and times are to be selected at the sole discretion of Informa.  The prize does not include travel insurance, the cost of transfers to and from airports or stations, the cost of transfers to and from accommodation to the venue for FIME 2023, food and drink, spending money, tax or personal/incidental expenses.

6.5. Any other costs incurred in addition to those set out above and that are incidental to the fulfilment of the prizes are the responsibility of the Winner.

6.6. You will be responsible for ensuring that you are available to travel and that you hold valid passports, any necessary visas and travel documents for travel in question on the travel dates specified by Informa.

6.7. Participants acknowledge and agree that Informa shall not be held liable in any way for the Winner’s inability to gain lawful and/or timely entrance to the country where FIME 2023 shall take place.

6.8. There is no cash alternative for any of the prizes.

6.9. The prizes are not negotiable or transferable.

6.10. If for any reason FIME 2023 does not take place in person (for example, due to the ongoing effects of the Covid-19 pandemic), Informa will discuss with the Winner in good faith what impact this has on the prize.  For the avoidance of doubt, all participants acknowledge and agree that at no time will any cash alternative be provided by, or attempted to be claimed from, Informa.

7. Winner Announcement

 

7.1 The Winner will be announced online on the 31st May 2023 (“Announcement Date”). More information regarding where and when the Winners will be announced shall be given to the Finalists once they are selected.

7.2 Informa’s decision is final, and no correspondence or discussion will be entered into in regard to accepting Abstracts, picking Presenters, Finalists and selecting Winners.

7.3 Informa will contact the Presenters, Finalists and Winners via email as soon as practicable after the Announcement Date, using the telephone number or email address provided with the Competition entry with any further details, such as the requirements in clause 6.9.

7.4 Informa shall not be liable for the inability of a Presenter, Finalist or Winner to obtain the Prize if a they fail to provide any necessary further details (such as information required to arrange travel arrangements) in time.

8. Claiming The Prize

 

8.1 Only one Prize will be allocated per winning Abstract. If a participant enters as a group, then only one person as a representative of the group shall receive the Prize and attend FIME 2023. Once the group informs Informa who said representative will be, this cannot be altered.

8.2 The Prize cannot be claimed by a third party on your behalf.

8.3 If a Winner cannot be contacted or is not available or declines the Prize Informa reserves the right to offer the Prize to another of the Finalists.

8.4 Informa does not accept any responsibility if you are not able to take up the Prize.

9. Limitation Of Liability

 

9.1. Insofar as is permitted by law, Informa,its affiliates and each of its and their respective officers, directors,employees, agents and/or distributors (Released Parties) will not in any circumstances be responsible or liable to compensate the Presenters, Finalists, Winner or any participant, or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up a prize or participating in the Competition, except where personal injury or death is
caused by the negligence of Informa, its agents or distributors or that of their employees.  Informa disclaims all warranties of liability for any losses, damages, or costs due to any errors in the administration of the Competition due to any cause, including but not limited to, any technical malfunction, failure, interruption or defect of the Website or any network, equipment, software, or due to human error, or any combination of any of the foregoing. Your statutory rights are not affected.

9.2. Although Informa shall take reasonable care in the printing and display (online or physical copy) of the entrants and any related material, it shall not be liable for any errors, omissions or misquotations that may occur.  All Abstracts are subject to the approval of Informa.  Informa reserves the right to reject any Abstracts at any time after receipt.

9.3. Not withstanding anything to the contrary in these Terms and Conditions, Informa reserves the right to cancel or postpone this Competition at any time at its sole discretion.  In the event that the Competition is cancelled or postponed, Informa shall use commercially reasonable endeavours to notify
entrants of such cancellation.  Whilst Informa shall try to notify all entrants, it shall not be liable to any entrant for any loss or damage caused by such cancellation. Each participant releases and holds harmless all Released Parties for any losses arising out of:

9.3.1 any third-party intellectual property infringement contained within the Abstract or Poster entries;

9.3.2 any injury or damage to any computer or other device related to or resulting from a participant’s participation in or downloading of any materials in
connection with the Competition;

9.3.3 any conditions arising from the events beyond Informa or Taylor and Francis’ reasonable control.

9.4. Without limiting the generality of the foregoing, neither Informa or any of the Released Parties shall be liable for any special, incidental, indirect, punitive, exemplary, or consequential damages arising of or relating to the Competition, howsoever caused, whether arising in statue, tort, contract, or other legal theory, and regardless of whether such Released Party was advised of the possibility of such damages. All such damages are hereby disclaimed and excluded. 

10. Ownership Of Competition Entries And Intellectual Property Rights

 

10.1 Informa does not claim any rights of ownership in your Abstract.

10.1. As set out in clause 4.7 above, if your Abstract is chosen for publication in the Open Access FIME abstract book, such publication shall be subject to you entering into the Publishing Agreement, under which you shall transfer the intellectual property rights in the Abstract to Informa.

10.2. Subject to clause 10.2 above which applies if your Abstract is chosen for publication, by submitting your Abstract and any accompanying material (including all information in any Abstract), you agree that Informa may, but is not required to, make your entry available on its website, at any FIME conference organised by Informa or the Informa Group (including but not limited to FIME 2023) and any other media, whether now known or invented in the future, and in connection with any publicity of the Competition.  You agree to grant Informa an exclusive, worldwide, irrevocable licence, for the full period of any intellectual property rights in the Abstract and any accompanying materials (including all information in any Abstract), to use, display, publish, transmit, copy, edit, alter, store, re-format and sub-licence the Abstract and any accompanying materials for such purposes.

11. Data Protection And Publicity

 

11.1 By submitting an entry into the Competition, you agree that Informa may use your name/s, job title, laboratory/institution name, town and country of residence and contact details in connection with displaying an Abstract in relation to clause 3.8.

11.2 If you are the Winner of the Competition, you agree that Informa may use your name, image, job title, laboratory/institution name and town and country of residence to announce the Winner of this Competition and for any other reasonable and related promotional purposes.

11.3 By entering the Competition, you agree that any personal information provided by you with the Competition entry may be held and used only by Informa or its agents and suppliers to administer the Competition. For more information about how Informa uses/stores your data, see our Privacy Policy. 

12. General

 

12.1 By submitting and entry to the Competition, you agree to be bound by these Terms and Conditions

12.2 If there is any reason to believe that there has been a breach of these Terms and Conditions, Informa may, at its sole discretion, reserve the right to exclude you from participating in the Competition.

12.3 Informa reserves the right to hold void, suspend, cancel, or amend the Prize or Competition where it becomes necessary to do so at its sole discretion.

12.4 By entering this Competition participants warrant that there is no legal prohibition on them to enter and participate in the Competition, and as such participating does not contravene any laws in the jurisdiction or location in which they make their entry.

12.5 To the furthest extent permitted by law, Informa shall not be liable to pay any taxes in relation to awarding the Prize. Any such taxes shall the responsibility of by the Winner.

12.6 If Informa reasonably believes, once Prize has been awarded, that the Poster is not an original work of the entrant and infringes on a third party’s intellectual property rights, the participant in question shall immediately refund any and all monies spent on awarding them the Prize.

12.7 Participants hereby agree to fully indemnify Informa for any loss, damages or costs in relation to a breach of clause 4.3 of these Terms and Conditions, including any legal costs incurred in defending any third-party claims.

12.8 In attending any FIME conference, entrants agree to abide by the terms and conditions applicable to visitors.

12.10 These Terms and Conditions shall be governed by the laws of the State of New York, and the parties submit to the exclusive jurisdiction of the courts of the state of New York.
